Abstract Submission Procedure

Explanation:
U.S. immigration rules require that visitors from most countries obtain a visa before entering the U.S., both for touristic and business purposes. Attending a scientific meeting is a legitimate business purpose. A recommended step in obtaining the necessary visa is to include a letter of invitation from the meeting organizer or the U.S. host, specifying the subject, location and dates of the activity, and how travel and local expenses will be covered. Since the visa application process takes some time, we need to provide this letter early on, and, hence, your abstract has to be reviewed and thus submitted earlier than is traditional for this meeting as well. If you don't need a visa (e.g., because you are from one of the visa waiver countries, check http://travel.state.gov/visa/temp/without/without_1990.html) or already have one (e.g., a student visa, or a green card) you don't need to submit early. If you need a visa and absolutely cannot meet the early deadline, please contact us as soon as possible to see what can be done.

Notification:

We will notify the early submitters as to the acceptance or rejection of the abstracts by March 7, 2005.
Notification of acceptance/rejection and assignment to an oral or poster presentation will occur by May 20, 2005.
Note that early submissions will not be assigned to an oral or poster presentation until May 20, 2005.

Submission Instructions:

The abstracts should be written in LaTeX and limited to one page.

Please note that figures, references, and key words are optional.
Please note that the presenter's name should be underlined.

If you cannot work with LaTeX, we will accept MSWord or, in the worst case, plain text abstracts.

Please make sure that it fits on a single page with 12 pt Times New Roman font, and text area 16 cm (6.25 in) wide by 23 cm (9 in) high.
The one page limit as defined above will be strictly adhered to.

1. Download the LaTeX file.  Fill it up and Save it into a local file with the title "PRESENTERLASTNAME-me05-abstract.tex".  Be sure to underline the presenter's name in the abstract.

2. Email abstract to: maxent@email.arc.nasa.gov

3. In the email please include the following:

  • Presenter's name, affiliation, and contact information (email, phone, and FAX)
  • Specify preference for an oral or poster presentation
  • If the abstract is aimed for a special session, please indicate this in the email message
  • Please indicate if this is a student presentation
